To view the Asset Assignments options, you will need to select ‘Asset Assignments’ from the ‘Wizard Mode’ list of values provided on the Project Wizard ribbon as per the screenshot below:
The ribbon will be reset to reflect the options available for Asset Assignments.
There are three methods for displaying Asset Assignments. From the icon ‘Presenting the Asset Assignments’ choose your preference:
You can change this at any time. Your selection affects which form is used to edit/create the Assignments, the upload process, and the download.
Asset Assignments take the form of a many to many relationship. You may:
• Assign the same Asset to many Tasks.
• Assign more than one Asset to a Task.
• Assign Assets at the Project level, removing the ability to assign them at a lower level.
• Mark a Task ‘Common Costs’ meaning costs will be grouped at that task level and not assigned to any particular Asset.
Although Oracle has provided this functionality please be aware that if you have a single Asset assigned to a Task, all costs on that task or its children will be automatically assigned to the Asset. Adding another Asset prevents this automatic assignment from taking place, as the Generate Asset Lines process cannot determine the correct amount to assign to each. There is an Assignment Extension, which you may program to overcome this limitation; otherwise it is pointless assigning multiple Assets to a Task. You might as well mark the Task as Common Costs.
Operation of Each Display Method
(a) Show with the Task
The column containing the Asset Name is ‘Assigned Asset’. Assignments are added, deleted or updated using the Tasks form or the upload buttons on the Project Asset ribbon.
For multiple Asset Assignments, use rows below the main Task row. You can choose ‘Common Costs’ instead of an Asset Name. This method CANNOT handle Project level Assignments.
(b) Show with the Asset
The column containing the Task Number is ‘Assignment’. Assignments are added, deleted or updated using the ‘Assets’ form or the upload buttons on the Project Asset ribbon. For Assignments to multiple Tasks, use rows below the main Asset row.
You can choose ‘Project Level’ instead of a Task Number. This method CANNOT handle Common Costs Assignments.
Note: If you load the Asset Form AND your cursor is sitting in the ‘Assignment’ column, AND you have opted to use the ‘Show with the Asset’ method of Assignments, the form will evaluate if you are trying to add or update an asset, or add an additional assignment to an asset on another line.
If you DO wish to create an additional assignment for an Asset located above the current row, then make sure you load the form while the cursor is in the ‘Assignment’ column.
(c) Show in Separate Section
The column containing the Task Number is ‘Assigned To’. The column containing the Asset Name is ‘Asset Assigned’.
Assignments are added, deleted or updated using a small form containing only these Assignments. It can be loaded by clicking the ‘Forms’ icon and selecting ‘Asset Assignments Form’ on the Project Wizard ribbon, or by double-clicking in the worksheet in the ‘Asset Assignments’ section below row 9.
You can choose ‘Project Level’ instead of a Task Number. You can choose ‘Common Costs’ instead of an Asset Name.
