Download Existing Transactions
The download function enables you to download existing Purchase Orders or Receipt information into the worksheet. This information can then be modified to create new or modify existing transactions.
Only the Download Source Option of ‘ASN Shipment’, ‘Receiving Transactions’, ‘Corrections’ and ‘Return Material Auth (RMA)’ downloads will show the transaction quantities. If you require the transaction quantities to be in your worksheet, validate the record first using the ‘Validate only’ Validate Option or open the PO Receiving Form on the required line. The quantities will then be derived and a message will display advising of this.
TIP: PO Receiving Wizard has a lot of columns and it is sometimes hard to know what data goes where. A download is a fast and effective way to examine an existing receipt and determine what data goes in what column.
There are three methods which can be used to download transactions into your worksheet:
• Method 4 – Using the Custom Query Tab this feature allows users to run pre-defined queries created by their Administrators where they are assigned to the same Oracle Responsibility being used in the Wizard.
For ‘Download Form’ and ‘Download using sheet data’ options, select the ‘Download Source Option’ from the list of values on the PO Receiving Wizard. This determines the type of data which will be downloaded.
The following is an explanation of the Download Source Options:
• ASN Shipment – This will download the shipping transactions based on the criteria entered into the Download form e.g. If you selected this option and also entered a ‘Shipment Number’ the downloaded data would allow you to create a receipt for this shipment. The shipment download will only download quantities which have not been receipted.
• Open Purchase Orders – This will download all of the purchase orders applicable based on the criteria entered into the ‘Download’ form. For example if you selected this option and also entered a ‘PO Number’ in the Download form, the data downloaded would allow you to then create a receipt for the specified purchase order.
Note - If an item on a Purchase Order has been 100% receipted or the quantity receipted exceeds the PO quantity then the associated line will not appear using the supplier download.
• Receipt – This will download all of the existing receipts based on the criteria entered on the Download form e.g. If you selected this option and also entered a ‘Receipt Number’ in the Download form, the data downloaded will enable you to confirm the delivery of an existing receipt.
• Receiving Transactions – This will download all of the existing transactions based on the criteria entered into the Download form e.g. If you selected this option and also entered the ‘Receipt Number’ in the Download form, the data will allow you to review the transactions associated with that receipt.
• Returns – This will download all of the existing transactions which are able to be treated as a return based on the criteria entered on the Download form e.g. If you selected this option and also entered a ‘Receipt Number’ in the Download form, the data downloaded would allow you to return an item which has been receipted back to the supplier.
• Corrections – This will download all of the existing transactions which can be corrected based on the criteria entered on the Download form e.g. If you selected this option and also entered a ‘Receipt Number’ in the Download form, the data downloaded would allow you to correct the quantity received or delivered for that Receipt Number.
Note - Enter both the ‘Inventory Org’ and ‘Receipt Number’ in order to expedite the download functionality.
• Return Material Auth (RMA) – This will download a product being returned via a Return Material Authorization created in Oracle Management. The user enters RMAs in Oracle Order Management. They can process a RMA receipt transaction in a similar way to internal order receipts. They need to specify the RMA Sales Order Number in the Download form to bring in the goods defined for a return.
• Internal Order – This will download Sales Orders created from internal requisitions and sourced from Inventory. If the user chooses this option we recommend they specify the Requisition and Sales Order details for downloading the items to receive.
• Inventory – This will download shipments for inter-organization transfers. If you enter a value in the Inventory Org, this will download the shipments for the transfer from the Source Organization(s).
