Source Line Transfer

This function allows the user to transfer source lines from one asset to another.  Unlike in the EBS form, you are not restricted to one transfer at a time.  The Wizard enables the user to split a source line to multiple assets at one time.  They can also transfer source lines from multiple assets within the same load.

To use this function, follow these steps:

1.    Click the ‘Select Template’ icon from the ribbon and select the ‘Source Line Transfer’ Mode from the ‘Generate template’ form.

Click the ‘Create New’ or ‘Create All Columns’ button to create a new sheet.  Refer to section:  Manage Templates

2.    Download the assets with source lines that you wish to transfer, using the ‘Download Form’ or ‘Download using sheet data’ functionality.
Note: you must download the Source Lines before you transfer them.  The ‘Source Line ID’ is required.

3.    Select the Source Lines that you wish to transfer by completing the Destination Assets section.

You can transfer the full amount or part of the amount. If you leave the ‘To Asset Number’ blank it will skip the transfer.  Optionally you can change the Invoice Description otherwise it will default unchanged from the Source.

4.    Optionally, you can Amortize or Expense the adjustment by selecting the appropriate Transaction SubType. The default will be Expense unless you have previously processed an Amortized adjustment.  Note: The Wizard will not show the defaulted value but the API will check during upload.

As within EBS you cannot change between these types if you have previously processed an adjusted.

You can also optionally set the ‘Amortization Start Date’.  It will default to the last date of the current open period of the Book.

Save Changes
To save the changes, click the ‘Ok’ button.  The ‘Ok’ button will save the changes and close the form.  To clear your changes, click the ‘Cancel’ button.

Upload Transactions
Once the Source Line Transfer data has been entered, the transactions can be uploaded to Oracle Assets using the instructions in the Upload Transactions section and Submit Concurrent Processing Program.

Example of Upload

Note:  The row with no ‘To Asset Number’ was skipped transfer.
The first source line (MANUAL-1) is split partial over two assets.
The destination Assets new ‘Source Line ID’ is placed into the “Destination Assets Messages”.

Also note that if you perform a part transfer then the Source Line ID is also updated.

e.g. Part of Source Line ID 564743 was transferred from Asset 743039 $10,000 MANUAL-1.  On transfer this was original line is updated to Source Line Id 564748 on Asset 743039 $9,998 MANUAL-1.

If the user is doing multiple splits, they will need to be careful that they have the correct download ‘Source Line ID’.

Other Notes:
·       If splitting one source line to multiple assets they must be listed together, one after each other.
·       If you wish to change the source line invoice description only, then enter ‘New Inv Description’ but leave ‘To Asset Number’ and ‘Transfer Amount’ blank.
·       If you split the Invoice ‘Line Amount’ (From assets) over multiple assets and the sum of the ‘Transfer Amount’ is larger than the original ‘Line Amount’, then the row with the transfer amount that over allocates will error, but all the prior rows will have transferred okay.
