GL Wizard Ribbon

 
The following table provides a quick reference to the GL Wizard Ribbon and its functions.

Description/Functionality
 
 
Login/Logout
 
 
 
This will either log you into or out of EBS depending on your status (terminate or reinstate your Oracle database connection).
 
The icon will change depending on your current status.  If you are currently logged in then the icon will show as ‘Log Out’.  If you are not logged in the icon will show as ‘Log In’.
 
 
About
 
 
 
Displays product and package version information along with licencing and usage data. 
 
You need to click on this button to load a new Licence Key, Modify/add a user of the Wizard or ‘View Usage’.
 
Refer to the Common User Topics documentation for more information.
 
 
Show/Hide Login info
 
 
 
This button toggles the display of the ‘Login Info’ information on the ribbon.
 
 
Actuals Header Form
 
 
 
A form to enter the journal header will display.  You do not have to use this form, you can copy and paste or key directly into the cells of the worksheet if you prefer.
 
If you do use this form, you can make use of the ‘Lists of Values’ and other validation as you are entering data.
 
Double-clicking in the worksheet in the Journal Header section will give the same result.
 
 
Actuals Line Form
 
 
 
A form to enter the journal line information will display.  You do not have to use this form, you can copy and paste or key directly into the cells of the worksheet if you prefer.
 
If you do use this form, you can make use of the ‘Lists of Values’ and other validation as you are entering data.
 
Double-clicking in the worksheet in the Journal Line section will give the same result.
 
 
Actuals Attachment Form
 
 
 
A form will open to enable an attachment to be entered against the current journal header record. 
 
Lines Descriptive Flexfield
 
 
 
A form will open to enable the Journal Lines Descriptive Flexfield information to be entered.
 
You do not have to use this form, you can copy and paste or key directly into the fields if you prefer.
 
Tax Descriptive Flexfield
 
 
 
A form will open to enable the Descriptive Flexfield information to be entered against the distribution fields. 
 
 
Select Template
 
 
 
This icon will open the ‘Generate template’ form to select a template for one of the four Wizard Modes:
 
     Actuals
     Budget Amounts
     Budget Journals
     Encumbrances

New Sheet
 
 
 
A new sheet will be created based on the selected Template/Mode on the ribbon.
 
If the Template is invalid or not yet selected, the ‘Select Wizard Mode/Template’ form will appear.

Validate Option
 
 
 
Choose whether to ‘Validate and Upload’ or ‘Validate only’ when uploading lines into the interface table.
 
This selection is used in conjunction with the ‘Upload’ button and selecting either ‘Upload Selected’ or the ‘Upload All’ button (below).
 
 
Pre-Validate Accounts
 
 
 
This gives the user the option to (or not to) pre-validate the accounts before they are uploaded.  If ‘No’ is chosen, the Wizard processes the data significantly faster leaving the validation to Oracle, which will return any errors on refresh.
 
When selecting ‘No’, the following will not error:
 
        Code Combinations that are:
-  Not enabled
-  Summary (parent)
-  Control accounts
 
Any errors will return on Refresh after Upload.
 
        Code Combinations that are outside the ranges for each Organization (Budget Journals).  We have found that Oracle accepts these when processed via the Wizard.
 
 
Submit Journal Import
 
 
 
This gives the user the option to have their Journals automatically imported.  It saves the user time by not having to go into the Submit Concurrent Program form, but the form is still available if the user wants to submit it manually.
 
 
 
Clear Status Columns
 
 
 
This icon enables you to remove status column information from the worksheet.
 
This is helpful if you have downloaded an existing record and would like to clear the ID’s to enable you to use this as a template to create a new record.
 
 
Delete from Interface
 
 
 
This icon will enable you to delete the selected journal and lines from the interface table.
 
Upload Selected
 
 
 
The selected rows (as indicated by the cursor position or highlighted range) will be validated/loaded into the interface table. 
 
 
Upload All
 
 
 
All rows in the worksheet (that have not already been processed) will be validated/loaded into the interface table.
 
 
Download Form
 
 
 
A form will open that will enable you to download Journal information into the worksheet.

Download using sheet data
 
 
 
Journal information can be downloaded into the Wizard by entering a list of numbers in these following columns; 'Batch ID', ‘Batch Name’, ‘Journal ID’, and ‘Journal Name’, selecting them and using this option.

Sheet Filter Batch size
 
 
 
This icon allows modifications to the ‘Download using sheet data’ functionality.

Upload All Attachments
 
 
 
Allows users to Upload All Attachments to Oracle.
 
Upload Selected Attachments
 
 
 
A form will open to enable an attachment to be entered against the current record.
 
 
Submit Concurrent Program
 
 
 
Submits the standard Oracle Journal Import concurrent program, after the form data has been entered.
 
View Concurrent Request
 
 
 
This icon allows you to view your concurrent requests on the Oracle Concurrent Manager.
 
 
 
Refresh Interface Status
 
 
 
 
This will refresh the line status of the records in the spreadsheet.  It will show error or warning messages as applicable.  This is particularly useful when a concurrent process is run to import transactions from an interface table.  When the concurrent process has completed you should refresh the worksheet to see the results.
 
 
Logging
 
 
 
Logging turns on the diagnostics for the Wizard.  To turn it on/off, click on the Logging icon on the ribbon.
 
Once it is turned on, replicate the desired action for query logging, then save and send the workbook to More4apps.  This will assist the support team to diagnose the issue better.
 
 
Help
 
 
 
Click this icon for help on the functionality of this Wizard. 
The three options are:
