Use the Element Entry Download form to extract existing Assignment Numbers and Employee Names from Oracle HR. If these assignments have element entries (for the selected element as at the effective date), the download function will also download the element entry information, which can subsequently be modified and re-loaded.
Position the cursor on the row where you would like the download to start. Ensure you leave enough free rows below the cursor for all of the records that you are downloading, otherwise data may be overwritten.
Click the ‘Download’ icon on the ribbon and select ‘Download via form’:
The following form will appear:
You can search for assignments using one or more of the fields displayed. Use the dropdown lists to select a Payroll, Organisation, Job, Position and/or Assignment Category.
To search for a particular Employee Name or Assignment Number, set the ‘Pick Search Type’ field to ‘Employee Name’ or ‘Assignment Number’ then enter your search criteria, using ‘%’ as the wildcard.
Once the search criteria is entered, click on the ‘Search’ button. The assignments that meet the criteria will be listed in the ‘Available Assignments’ section.
Highlight the relevant assignments and use the arrow button to move them across to the ‘Selected Assignments’ section. (Note - You can use the ‘Shift’ or ‘Ctrl’ keys on your keyboard to select multiple assignments and move them all using the arrow button).
To remove any selected assignment, highlight it and click on the ‘<’ button.
Once the assignments have been selected, click on Download. You will see the assignments listed in the worksheet with any element entry information available as at the effective date.
Update these element lines by keying directly into the fields, or by using the ‘Element Lines’ form.
